Barbers Mandžo: how we replaced 70 messages a day with an online booking system

Karlo Mandžo runs a barbershop in Čitluk. His brother Roberto works alongside him, and together, as they put it, they cut more than 150 people's hair in a working week. Business was good. The problem was elsewhere: every one of those appointments was arranged by message.

Seventy messages a day

Karlo says he used to get more than 70 enquiries a day.

Each enquiry meant the same thing: read the message, check the calendar, offer a slot, wait for confirmation, write it in by hand. Times seventy. Every day, at every hour of the day and night, because messages don't know about opening hours.

That isn't just lost time. It's a constant obligation hanging over you even when you're not working, and a mistake waiting to happen the moment two appointments overlap because someone copied down the wrong hour.

Booking in a few clicks, with no app and no account

We proposed a system where clients book their own appointments.

No app to install and no account to create. That was deliberate. Every step you ask of a person before they get what they came for is a step where you'll lose someone, and here we're talking about people who just want a haircut.

The client immediately sees the available dates and that day's free slots, and picks one. A confirmation arrives by email, and a reminder two hours before the appointment. They can cancel or move the appointment themselves if something changes.

The reminder solves a problem every salon knows: people who simply forget they booked.

What Karlo and Roberto got

The biggest change isn't on the client's side but behind the counter.

All bookings go straight into their calendar. Not a single letter is written in by hand any more. They see all appointments in one place and can cancel or move them themselves when they've agreed that with a client.

When they want to close a day or part of a day, they do it in the calendar in two clicks. The website picks that up immediately, so nobody can book a slot that doesn't exist. They don't have to think about it any more.

Why the website is deliberately simple

This is a decision worth explaining, because it's often done the other way round.

Almost every visit to this website comes from a regular client who wants one thing: to book an appointment. They don't come to read the salon's story or browse a gallery. So the whole site is built around booking, and everything else, prices, opening hours and contact, is clearly there but doesn't get in the way.

A barbershop website doesn't need to be rich. It needs to be fast and to have one obvious next step. Anything standing between the client and that step is a cost, not content.

Results

Two figures, from two tools and from two different periods. Both are stated with the image, because a figure without a period means nothing.

Their own name holds first place

For the query "barbers mandzo" the site has an average position of 1.1 and an average CTR of 92.9 per cent.

This is a branded query, meaning someone who already knows the salon and is searching for it by name. It doesn't mean the site ranks first for every term, but something more specific and more important for this business: when someone searches for Barbers Mandžo, they find their website and click on it. Nobody gets lost on the way.

Instagram does what it was set up to do

The plan was simple. A visitor sees the Instagram profile, taps the link in the bio, books.

Instagram is the largest source with 293 visitors. Google is second with 126, which isn't bad for three weeks, especially since nobody specifically worked on it. The rest comes through WhatsApp and Facebook.

Two notes, so the figures don't say more than they actually do. These are the sources visitors came from, not total traffic: anyone who types in the address or comes via a saved link doesn't show up here. And the period is shorter than for the first figure, because analytics wasn't set up from day one.

What it left behind

Clients book on their own, when it suits them, without waiting for a reply.

Karlo and Roberto got back the hours they spent on messages every week, and with them one less source of pressure. The calendar runs itself.
